Administrator req'd with Medical or Legal secretarial background for contract role - Drogheda
- Responsible for providing a comprehensive reception service which includes:-
- Public reception desk duties
- Telephone calls and messages
- Deal with incoming and outgoing post
- Ensure that all bookable accommodation is used to the maximum extent
- Ensure all referrals are directed to the appropriate clinical staff for screening and management
- Update the Referral database, where appropriate.
- Record all referrals as required on discipline specific databases
- Acknowledge referrals
- Manage all referrals as directed by clinical staff
- Issue appointment letters and follow up phone calls as required
- Manage appointment cancellations and rescheduling
- Issue letters
- Responsible for records management system
- Ensure files are kept to meet legislative requirements
- Ensure all client files are maintained to the required standard
- Ensure all client files are kept safe at all times and are available for appointments
- Ensure confidentiality of client files is protected at all times
- Open and close files as necessary
- Provide secretarial support as required for reports, letters, email, appointments, minute taking, photocopying, etc.
- Maintain relevant data bases for the purposes of accurate recording of activity
- Compile and collate statistical information
- Provide statistics as required for management information and reporting

DUTIES
- Support all internal and external HR related inquiries or requests.
- Drafting/processing documentation for employee on-boarding and induction
- Assist in the drafting of core HR policies.
- Assist with internal employee communications.
- Keeping up to date on employment legislation.
- Supporting senior management with HR queries and issues.
- Support with the recruitment process when hiring new employees.
- Dealing with Annual Leave requests
- Reviewing Absenteeism
